Job Requirements
Terms and Conditions
Ensuring proper facility maintenance and compliance with industrial sanitation standards and fire safety regulations in buildings and premises occupied by the Company’s departments, as well as monitoring the functionality of equipment (lighting, heating, ventilation, elevators, etc.)
Coordinating activities within the area of responsibility, including:
Planning, targeted use, and optimization of funds allocated for administrative needs within the approved budget
Preparing and approving office space allocation plans for employees
Managing procurement processes for office furniture, equipment, stationery, and other administrative supplies in accordance with established procedures
Providing support, within the scope of responsibilities, for:
Concluding contracts with suppliers in accordance with established procedures
Monitoring and controlling contract execution
Maintaining order in office premises, and ensuring proper functioning of office equipment and communications
Organizing and coordinating technical and logistical arrangements for meetings, events, and business gatherings
Interacting within assigned authority:
With service providers, including those responsible for leased premises, utilities, and transport services
With Company departments in accordance with established workflows and financial-economic processes
Participating, within scope of responsibility, in:
Preparing estimates for administrative expenses and controlling the quality of repairs to fixed assets
Maintaining document flow for the department
Fully performing the duties of the Administrative and Facilities Coordinator and/or Deputy Head of the Administrative Department as assigned during their temporary absence
Timely reporting on performed tasks to senior management (including the Deputy Head of the Administrative Department)
Complying with occupational health and safety, fire safety, and environmental protection regulations as set forth in the Company’s internal policies
Fulfilling assignments from direct and senior management, including the Deputy Head of the Administrative Department
Education:
Higher education in a relevant field or in economics
Work experience:
At least 3 years
